User Account
When creating a user account, you must provide your email address, company name, tax identification number (NIP), and phone number. Providing this data is voluntary, but necessary to create an account.
The data you enter in your user account will be processed solely for the purpose of maintaining your account and allowing you to use it. Providing data in your user account is intended to make it easier for you to place orders in the store by automatically filling in the order form.
The legal basis for processing your personal data within the user account is the performance of the account service contract, which you conclude based on the store’s Terms & Conditions — Article 6(1)(b) GDPR.
Data collected in the user account is processed and stored on servers provided by Nazwa.pl.
Your data will be processed as long as you maintain a user account. After deleting your account, your data will be removed from the database, with the exception of data concerning completed orders.
You can access your personal data processed within your account at any time by logging in to your user account. After logging in, you can modify or delete your data at any time, with the exception of data concerning completed orders. You can also choose to delete your account at any time.
You also have the right to data portability concerning data collected in your user account, as referred to in Article 20 GDPR.
When placing an order, you must provide the data necessary to fulfill the order, i.e.: company name, tax identification number (NIP), email address, and phone number. Providing this data is voluntary but necessary to place the order.
The data you provide to us in connection with your order is processed for the purpose of fulfilling the order (Article 6(1)(b) GDPR), issuing an invoice (Article 6(1)(c) GDPR), recording the invoice in our accounting records (Article 6(1)(c) GDPR), and for archival and statistical purposes (Article 6(1)(f) GDPR).
Data contained in the order placed via the store is stored on servers provided by Nazwa.pl.
If you have a user account, your order will also be visible in the order history of that account.
Each order is documented with an invoice. Invoices are issued using the Comarch Optima system – invoices are then passed on to our accounting office, Debet sp. z o.o.
Orders are also recorded in our internal database for archival and statistical purposes.
Order data will be processed for as long as it is necessary to complete the order, and subsequently until the statute of limitations for claims under the concluded contract expires. Moreover, after this period, data may still be processed by us for statistical purposes. Please also note that we are obliged to store invoices containing your personal data for a period of 5 years from the end of the tax year in which the tax obligation arose.
With regard to order data, you cannot request rectification of that data after the order has been completed. You also cannot object to the processing of your data or request its deletion until the statute of limitations for claims under the concluded contract expires. Similarly, you cannot object to the processing of data or request its deletion if it is contained on invoices. However, after the expiry of the statute of limitations for claims under the concluded contract, you may object to the processing of your data for statistical purposes.
You also have the right to data portability concerning order data, as referred to in Article 20 GDPR.
If you file a complaint or withdraw from the agreement, you provide us with personal data contained in the complaint or the withdrawal statement, which includes your first and last name, home address, phone number, email address, and bank account number.
The data provided to us in connection with the filing of a complaint or withdrawal from the agreement will be used for the purpose of carrying out the complaint procedure or withdrawal process (Article 6(1)(c) GDPR).
The data will be processed for the time necessary to complete the complaint procedure or withdrawal process. Complaints and withdrawal statements may also be archived for statistical purposes.
With regard to the data contained in complaints and withdrawal statements, you do not have the right to request their rectification. You also cannot object to the processing of such data or request its deletion until the expiry of the limitation period for claims arising from the concluded agreement. However, after the limitation period for claims under the concluded agreement expires, you may object to the processing of your data for statistical purposes.
When you contact us via e-mail, including by submitting an inquiry through the contact form, you naturally provide us with your e-mail address as the sender. Furthermore, the content of your message may also contain other personal data.
Your data in this case is processed for the purpose of contacting you, and the legal basis for processing is Article 6(1)(a) of the GDPR, i.e. your consent resulting from your initiation of contact with us. The legal basis for processing after the contact has ended is our legitimate interest in archiving correspondence for internal purposes (Article 6(1)(c) of the GDPR).
The contents of the correspondence may be archived, and we cannot specify exactly when they will be deleted. You have the right to request access to the history of correspondence you have had with us (if it has been archived), as well as to request its erasure, unless its continued retention is justified by our overriding interests, for example in order to defend against potential claims you may raise.
